Privacy Notice

Clear information about what happens to your data.

This notice explains how personal information is collected and used for the Everyday Life Study. Responses are not described as completely anonymous while contact or other identifying information is retained.

At a glance

Research answers, reward contact and delivery information have different jobs.

Research participation does not require reward participation. Reward email, optional follow-up permission and later hand-delivery information are separated from research-response analysis where practicable.

No household-response tracking

A valid invitation code records only a broad distribution group. Your household address is not sent to the questionnaire.

Contact is conditional

Email is collected only when reward participation or optional follow-up contact makes it necessary.

Retention is purpose-specific

Research, reward, draw, delivery and follow-up records are kept for different periods according to their purpose.

2. What information is collected?

  • Delivery-address information used only to prepare and administer hand delivery to invited households. This is kept separately from questionnaire responses and is not passed to Tally.
  • Eligibility answers, including whether the participant is aged 18 or over, whether the household received an invitation, whether the situation is from the previous three months, involvement in the situation and whether enough can be remembered to describe it.
  • Grouped-analysis background information: age group, employment situation, household type, number of adults, number of children and housing situation. Relevant questions include a Prefer not to say option. These fields are not reward eligibility criteria.
  • Research answers about one everyday-life situation, including what happened, what was done, time, money, effort, current workarounds, future behaviour and repeat-use or payment views where asked.
  • A broad invitation-distribution code when a valid study link is used. The code does not contain your household address and does not identify your household.
  • Whether the participant chooses reward participation and, separately, whether they agree to optional future follow-up contact.
  • An email address only where reward participation or optional future follow-up contact requires it. The email field is hidden when neither choice requires contact.
  • Separate hand-delivery information supplied later by a qualifying reward recipient: a one-time reward reference, house/building number, road, and a flat identifier only where genuinely required. The main research questionnaire does not collect these delivery details.
  • For the selected £100 draw winner only, limited additional information may later be requested where reasonably necessary to demonstrate that a valid major prize was awarded. This is not collected from all participants.
  • Technical and administrative information needed to operate the website or questionnaire, such as submission time and provider security or delivery logs where applicable.
Please keep research answers focused on the situation. The questionnaire warns participants not to enter names, exact addresses, email addresses, phone numbers, banking/card information or unnecessary sensitive personal information into written research answers.
Are responses anonymous? Not necessarily. If you choose rewards or optional follow-up contact, contact information may be held separately. Technical or administrative records may also be personal data. Research findings are reported in grouped form where appropriate.

3. Why information is used

Invitation delivery: to prepare and administer hand delivery to selected local delivery points. Address source: The invitation list was manually compiled and checked from publicly visible house/building numbers, road names and relevant flat/building identifiers during local field checks. Google Maps was used only to assist route and location checking.

Research and grouped analysis: to understand recurring everyday-life problems, workarounds, decisions, consequences and desired outcomes, including comparison by the background categories listed above.

Eligibility and quality review: to apply the questionnaire eligibility rules and identify duplicate, copied, automated or fraudulent submissions.

Reward administration: only for participants who choose reward participation, including first-30 review, draw administration, contact and gift-card delivery.

Optional follow-up contact: only where a participant separately agrees to be contacted about possible future research.

Lawful basis: We rely mainly on legitimate interests to organise local invitation delivery, check eligibility, conduct and analyse the research, administer optional rewards, and keep necessary research and reward administration records. Our legitimate interests are carrying out proportionate local research and administering the study fairly and securely. We rely on consent only for optional future-research contact, which can be withdrawn at any time. Where processing is necessary to comply with a legal obligation, including applicable data-protection compliance requirements, we rely on legal obligation.

4. Service providers and sharing

Tally: provides the online questionnaire used for the study.

Vercel: hosts the Avlior Research website.

Proton Mail: provides the participant contact email service.

Virtually There: provides the Birmingham correspondence-address and mail-handling service.

Lidl: is the retailer of the physical gift cards but does not sponsor, administer or otherwise associate with the research. Participant information is not sent to Lidl for study administration.

Personal information is not sold for unrelated marketing.

More about our service providers: Tally provides the questionnaire and processes information submitted through it; Proton Mail provides study email; Vercel hosts the Avlior website; and Virtually There provides the Birmingham correspondence-address and mail-handling service. The Avlior website does not intentionally collect questionnaire responses or reward/follow-up contact details through Vercel. Vercel may process ordinary technical website traffic and service-generated information in connection with hosting. Vercel Web Analytics and Speed Insights are not enabled. We use service providers only where reasonably necessary and review their privacy and security arrangements.

5. How long information is kept

Main questionnaire responses
24 months after the study closes
Reward-only email
6 months after main reward administration is completed
Reward hand-delivery information
90 days after successful hand delivery unless an unresolved issue genuinely requires longer
£100 draw audit/admin
12 months after the draw
Follow-up permission/email
12 months after the main study closes unless permission is withdrawn sooner
Follow-up responses
24 months after the relevant follow-up study concludes
Anonymised findings
Genuinely anonymised aggregate or statistical findings may be retained longer.

A record may need to be kept longer where a genuine unresolved complaint, rights request, suspected fraud issue or legal claim requires it.

6. Your data-protection rights

  • Ask what personal information is held about you and request a copy where applicable.
  • Ask for inaccurate personal information to be corrected.
  • Ask for erasure, restriction or objection where the applicable law gives you that right.
  • Withdraw optional follow-up contact permission at any time. Withdrawal does not affect earlier lawful processing.
  • Raise a concern about the way personal information has been handled.
  • Make a complaint to the Information Commissioner’s Office (ICO) if you remain concerned about how your personal information has been handled.
